Favorite Attendees - Overview

The Attendees tab of the Profile displays the attendees that appear in your favorites list - the attendees you use most often, which is not necessarily all of your attendees.

Use the Attendees tab to:

  • Choose the attendees that appear in your favorites list (Attendees section of the New Expense tab or the Expense tab on the expense report page) and the Favorites tab of the Search Attendees window.
  • Add new attendees to the system 
    NOTE: To add an attendee to a specific expense, use the expense report page.
  • Edit attendee information
  • View attendee information
  • Delete an attendee from the system 
    NOTE: To remove an attendee from a specific expense, use the expense report page.

Use the Attendee Groups tab to manage your groups.

Access

To access this page, click Profile → Profile Settings → Favorite Attendees (in the Expense Settings section of the left-side menu).

Attendee information

On the Attendees tab, you can view each attendee's name, title, company, and attendee type.

Add, Edit, View or Delete Attendees

To add an attendee:

  1. Click Profile → Profile Settings → Favorite Attendees (in the Expense Settings section of the left-side menu).
  2. On the Attendees tab, click New Attendee. The Add Attendee window appears.
  3. Select the appropriate type from the Attendee Type list. The page refreshes with the fields appropriate for the selected attendee type. NOTE: Your company will determine which attendee types you can use. If a desired attendee type is not available, contact your Expense administrator.
  4. Complete the remaining required fields and other optional fields, as desired.
  5. Click either:
    • Save to save the current attendee.
    • Save & Add Another to save the current attendee and add another.

When saving, AggieTravel checks for duplicate attendees. If it finds one or more potential duplicates, you will be prompted to:

  • Use the existing attendee information (if the attendee you are adding and the duplicate are, in fact, the same person)
    - or -
  • Continue adding the attendee (if the attendee you are adding and the duplicate are not the same person)

To view or edit attendee information:

  1. Click Profile → Profile Settings → Favorite Attendees (in the Expense Settings section of the left-side menu).
  2. On the Attendees tab, click the attendee's name (link). 
  3. To view attendee information:
    • View the information.
    • Click Done.
  4. To edit attendee information:
    • Make any other desired changes. (The attendee type cannot be changed.)
    • Click Save.

To delete/hide an attendee:

  1. Click Profile → Profile Settings → Favorite Attendees (in the Expense Settings section of the left-side menu).
  2. On the Attendees tab, select the check box to the left of the attendee you want to delete/hide.
  3. Click Delete.
